Proof of COVID-19 Vaccination Status Due by 5 p.m. on November 5

All Montgomery College employees need to submit their verification of being fully vaccinated by  5 p.m. on Friday, November 5, to allow time for processing before arriving onsite November 8.  Employees requesting a medical or religious exception of being vaccinated must submit requests by 5 p.m. on  Friday, October 29.
Have questions? Check out the new FAQs that address several questions regarding vaccination confirmation, exception requests, testing requirements, and compliance. As a reminder,  face coverings (masks) are still required for all individuals who are indoors, regardless of vaccination status.

Go for the Gold Contest Underway

Open your benefits playbook and compete to win a gold, silver, or bronze prize during open enrollment by entering this year’s contest. You can win big during Montgomery College’s open enrollment period, October 25 through November 12, by logging into Workday, using the Alex virtual benefits advisor, attending a virtual wellness class, and more. To qualify for a gold, silver, or bronze prize, complete the requirements for each medal category and submit your entry to HR Benefits to be entered into the raffle drawing for one of three great prizes. If you have any questions, feel free to contact the Benefits Team, attend virtual office hours, or one of several vendor-provided information sessions. See the open enrollment schedule of events.

Important Tasks to Complete During Open Enrollment

  • Log in to Workday to review your current benefits, update your beneficiaries, and your emergency contacts. As we prepare for a successful transition of payroll in Workday in January 2022, we encourage all employees to review and confirm their benefits elections to address and correct any errors or inconsistencies in advance.
  • Confirm HSA and FSA elections. As you know, employees must always elect Flexible Spending Accounts (FSA) and/or Health Savings Accounts (HSA) each and every plan year. Note: HSA and FSA elections will not automatically roll over to 2022; employees must make an active election for these plans.
  • Confirm or waive the current Supplemental Retirement Account (SRA) election, if an account is already established. Only existing, unchanged SRA elections will roll over to 2022. New SRA requests should follow the current process outside of the open enrollment period.
  • Attend one or more vendor-provided Informational Sessions.

Workday Training Materials Now Available Online and During Blackout Period

Training materials for Workday, including videos, online webinars, job aids in English and Spanish, and FAQs, are now available on the College’s Workday website.
A selection of live Zoom training sessions will also be available during the blackout period of the Workday transition—November 27, 2021 through January 3, 2022. See the schedule and register.

All employees are encouraged to watch a brief Workday General Navigation Video. While many are already comfortable navigating through Workday, the video will help you learn more about some of Workday’s features, including how to access your profile page and how to modify your personal information.

Sick and Safe Leave: Carryover Deadlines and Changes for 2022

Sick and Safe Leave (SSL) is provided under the Maryland Healthy Working Families Act (MHWFA) for the College’s part-time credit and non-credit faculty, casual temporary staff, and student aides/Federal Work Study students not otherwise eligible for regular leave accrual. In November of each calendar year, eligible employees with an available SSL balance will have up to 40 hours of their current available leave carried over to the next year. SSL in excess of 40 hours will be forfeited. The last day for SSL-eligible employees to use any excess balance (over 40 hours) of SSL hours this calendar year is November 24, 2021.
Currently, full-time employees and faculty with a secondary job are earning additional leave on part-time positions as credit and non-credit faculty. After a comprehensive review of the College’s leave program and eligibility rules, it was determined that the sick leave provisions for benefits-eligible employees exceed MHWFA requirements. Effective January 1, 2022, all benefits-eligible employees with secondary part-time jobs are ineligible to earn or use SSL. These employees have until December 23, 2021, to use their available SSL balances; all unused SSL hours will be forfeited.

Workday Transition: Key Dates for Contracts and Assignment Letters

Workday will implement the payroll functionality on  Monday, January 3, 2022. Key deadlines for the January payroll implementation must be met for the transition to Workday. The last pay period in Banner is December 11–24, 2021, and pay beginning December 25 will need to be entered into Workday by 5 p.m. on January 6, 2022. For Workforce Development and Continuing Education (WDCE) contracts and part-time faculty assignment letters that overlap the last pay in Banner, the pay should be referenced separately on the contract and/or letter. SIAASGN will continue to be used to enter workload.
Departments processing pay for WDCE Instructors and part-time faculty between the dates of December 25, 2021 and January 7, 2022 for the January 14, 2022 pay date should contact  HRSTM  to coordinate special access to enter pay in Workday during December 20–23, 2021.
