Important EAP Reminders and Updates

As a reminder, our Educational Assistance Program (EAP) and Professional Development Assistance Program (PDAP) webpage has a ton of pertinent information related to processing EAP requests and EAP funding. Please visit the site regularly to stay informed about current procedures, tax requirements, and program utilization.
  • In order to assist with accurate EAP request processing and to ensure employees certify acknowledgement of EAP policy and procedures as a condition of receiving EAP benefits, as of January 2023, an EAP Acknowledgement Form is required for all EAP requests.
  • While you may have submitted your spend authorization to hold EAP travel funds months in advance of your EAP event and travel, per P&P 350001 Compensation Programs, please remember you have 30 days from the date you return from your travel to submit your reimbursement request (expense report). If your expense report is not submitted within that timeframe, HRSTM will release the money back into the EAP budget. Please review your spend authorizations in Workday and cancel any that are no longer applicable to your EAP travel needs.
  • The next round of EAP taxable income will be processed beginning with the 10/6/2023 paycheck. This includes any Wellness EAP reimbursement requests that were submitted in Workday and any taxable wellness prizes awarded between July and September 2023. For taxable tuition benefits (graduate and undergraduate), this includes any tuition benefits that were processed between January 2023 and September 2023 over the $5,250.00 IRS tax-free maximum benefit. Depending on the amount, the taxable income amounts will be included in employee pay on the 10/6/2023 and 10/20/2023 paychecks, and possibly the 12/1/2023 and 12/15/2023 paychecks, as well. All affected employees have received an email notification with detailed amounts and pay dates. Please note that if any tuition payments are processed in November and/or December that exceed the IRS limit, affected employees will have taxable income processed on the final December paycheck of the 2023 calendar year (12/29/23).
  • Please review your incomplete spend authorizations, expense reports, requisitions, and receipts in Workday on an ongoing basis. Cancel any that you no longer intend to use. This helps maintain the most accurate information in the system and is essential to ensuring all eligible employees can benefit from the EAP program.
If you have any questions, please contact EAP Requests.

Emergency Evacuation Accommodation

It is important for all employees to have an emergency evacuation plan in place in the event of an emergency. Those who may need assistance during an evacuation due to a disability should consider identifying themselves to employers and building managers to aid in the planning process.
If you have a disability and need
to develop and emergency evacuation plan, please contact Michael Harting, Emergency Management and Outreach Coordinator.
If you have a disability and wish to request an ADA accommodation, contact Rowena D’Souza, ADA Coordinator for faculty and staff.
