FY25 EAP and PDAP Updates
We’re excited to announce improvements to the Educational Assistance Program (EAP) and Professional Development Assistance Program (PDAP) process, effective January 2025.
Key updates:
- Streamlined One-Step Process: Starting Monday, January 6, 2025, direct payments and non-travel reimbursements will be simplified to a one-step process. EAP/PDAP travel will still require pre-approval via Spend Authorization.
- Annual Acknowledgement Form: Employees will now submit an acknowledgement form once per fiscal year, instead of for each individual request. Existing forms submitted since July 1, 2024, will cover all requests through June 30, 2025.
As a reminder, tuition benefits above $5,250 and wellness reimbursements may have tax implications each calendar year. Targeted emails will be sent to affected employees.

Final Invoice and Expense Payments for 2024 Due by December 18
All invoices and expense reports must be submitted and fully approved by COB on Wednesday, December 18, 2024, in order to be processed during the final check run prior to the winter break on Friday, December 20, 2024. This includes any Education Assistance Program and Professional Development Assistance Program requests.
All submissions on or after Saturday, December 21, 2024, will be processed during the first scheduled check run after the return from the winter break on Monday, January 6, 2025.

Talent Acquisition: Hiring Part-Time Faculty for Spring 2025
As the spring semester approaches, please ensure the hiring process for part-time faculty (PTF) is completed by Saturday, January 18, 2025. Meeting this deadline allows for a smooth onboarding process and ensures candidates are ready to start on time.
Hiring requests submitted after Saturday, January 18, 2025, may experience delays and could affect candidates’ start dates.

Payroll: Year-End Timesheet, Time Off, and Tax Statement Reminders
In preparation for the final pay periods and pay dates of 2024, please review the memo regarding important year‑end payroll information, including details about the final early timesheet deadline on Wednesday, December 18, 2024, and how to change your elections in Workday to receive your annual tax statements electronically.
Employees must make changes to their Form W2 election—paper or electronic (recommended)—in Workday by Friday, December 20, 2024.

Employee Data Dashboard for December 2024
The HRSTM Employee Data Dashboard provides monthly data about Montgomery College employees and encourages employees to access on‑demand information and resources.
The data dashboard has been updated as of December 6, 2024.
The updates include broad information, such as the total number of employees broken down by employee type and demographic category. We believe this dashboard will aid you in answering questions, planning, and identifying personnel trends at MC.

Final Reminder: 2024 Full-time Staff and Administrators Time Off Reporting and Carryover
Winter break is almost here. This is a final reminder for full-time staff and administrators about the College's annual and personal time off carryover limits and deadlines. The deadline for annual and personal time off for 2024 is next Friday, December 20.
Note that accrued time off balances update once the pay period is officially closed, so typically, this means using the first date of the following pay period to check your balance for the period that just closed. At the end of the year, due to the winter break holidays, check your balance as of December 20, 2024, and add your normal annual time off accrual amount based on years of service for the most accurate balance (e.g., 4.61 hours, 6.15 hours, or 8 hours).

Reminder: Period Activity Pay Deadlines for Winter 2024–25 and Spring 2025
As a reminder, Period Activity Pay (PAP) is how all part-time faculty (PTF) are paid in Workday and must be entered by administrative aides (AAs) based on the timelines set by the Office of Human Resources and Strategic Talent Management to ensure timely payment. Please note the following PAP dates for the upcoming winter session and spring semester.
Winter Pay for Instructional Part-Time Faculty Any instructional part-time faculty classes over the AY2024–25 Winter Session, which begins on December 23, 2024, and ends January 24, 2025, will be paid over three (3) pay dates. The pay dates for the winter session will be January 10, 2025, January 24, 2025, and February 7, 2025. AAs and department chairs were contacted directly with specific details. Spring Pay for Non-Instructional Part-Time Faculty (Counselors) Any non-instructional part-time faculty (counselors) working before the spring semester classes begin on January 27, 2025, will be paid over 11 pay dates. The first pay date for the spring semester for PTF counselors only will be January 10, 2025, and the 11th and last pay will be on May 30, 2025. Talent Acquisition: Student Worker Extension and Separation for Spring 2025
As the fall semester concludes, please plan for your student workers’ extensions and separations for spring 2025. Managers and supervisors are responsible for processing these updates in Workday.
For Federal Work Study (FWS) students, Financial Aid will contact you directly. Be sure to wait for their continuation notice before extending or separating any FWS assignments.
If your student workers are part of Raptor Central, student recruitment, or the Office of Records and Registration, please reach out to Ms. Nichole Land before taking action.
Job aids are available to assist with the process:
- To extend employment: Ensure the student is registered for at least six (6) credits (12 for international students). Enter 5/23/2025 as the end date for the extension.
- To separate employment: If no action is taken before the assignment end date, the student worker’s employment will automatically end.
